Google Business Profile Help for HVAC Companies

Your profile is free from Google, and you can run it yourself. If you’d rather hand it off, this page covers what a manager can and can’t touch, how to add one without sharing a password, how to check the work, and what we charge.

Paying For Help

What you’re actually paying for.

Google’s own page on outside help says the profile can be used at no charge, and that third parties often charge a fee to keep a profile up to date, provide customer insights, answer questions, and respond to reviews. Prefer to do it yourself? Our HVAC profile checklist on the blog walks through every setting.

Owner vs. Manager

Keep ownership. Give us manager access.

Google lets a profile have owners and managers. Managers can edit info, respond to reviews, and manage posts, but they can’t add or remove users or remove the profile. That’s the access we ask for, so you stay the one in control.

You, as owner

Full control: add or remove people, edit everything, even delete the profile.

Us, as manager

Hours, services, photos, posts, review replies. No power over who has access.

One owner is primary

A profile can have several owners but only one primary owner.

Adding A Manager

Six steps, and no password changes hands.

Each person needs their own Google Account, which is how Google avoids password sharing. Our terms say the same thing: never send us passwords; we ask for invite-based access instead.

  1. Open your Business Profile. Sign in with the account that owns it.
  2. Find People and access. Under More, then Business Profile settings.
  3. Select Add. Top left.
  4. Type the email address. For us, the one we send you.
  5. Choose Manager. Under Access.
  6. Select Invite. You’ll get an email when it’s accepted.

A Month On An HVAC Profile

What we’d actually do with the access.

Hours that fit the season

Google allows current seasonal hours as regular hours, plus special hours for holidays. We set them so a July caller isn’t reading winter hours.

Services that match the work

Repair, replacement, maintenance, and heating, listed as services rather than packed into the name.

The real name

Google wants the name on your trucks and invoices, with no added keywords like “AC Repair.”

Posts, weekly

Short updates and photos from your own jobs.

Review replies

Every review answered, good or bad.

Review requests

You ask every customer, with no discount or gift attached; Google removes incentivized reviews.

Checking The Work

You can see the numbers yourself, any time.

Owners and managers can open Performance and see views, searches, taps on the profile’s call button, website clicks, and direction requests. Google updates the searches metric at the start of each month, and it can take up to 5 days to appear. Google’s third-party page suggests spending time each month on exactly that review.

Warning Signs

What Google says to watch for in any helper.

  • Promises of a particular placement on Search or Maps. Google says third parties can’t promise or directly influence that.
  • Saying they work for Google. Google says to ask for an email from an @google.com address.
  • Threats to remove your listing. Third parties can’t remove a business or get in without your permission.
  • Prices that drift from what you agreed. Get the agreement in writing, with services and costs.
  • Hiding your performance numbers. Google says you have the right to see them.

Ending It

Removing us takes a minute.

As owner, open People and access, choose the person, and select Remove person. Google notes that a removed user’s past review replies and posts stay on the profile. Our terms add that we remove our own access within 7 business days if you ask, and we never hold a profile back.

Getting Started

The first stretch, from purchase to live.

Onboarding starts the same day you buy. GBP Setup goes live within 5 to 7 business days after we have your content and access, and it includes 1 round of revisions with 5 business days to review. If Google asks for extra verification steps, that part of the timeline is Google’s.

Day one

You buy, fill out the short onboarding form, and send the manager invite.

The audit

We go through every field: name, categories, services, hours, service area, photos.

Your review

You see the changes before they’re final and get one round of edits.

Heating season prep

If setup lands in the fall, the furnace and heat pump services go in first.

Monthly, if you keep it

Weekly posts, review replies, and photo uploads.

Your part

Ask customers for reviews and send job photos when you have them.

Client Review

What a client said about his website.

Our HVAC clients haven’t posted reviews yet. Here’s Luis Madera of Cam Collision, a New Braunfels body shop, on the website we built him, copied exactly:

“I have owned a business for 6 years now and never made a website for two reasons, one I have been luck enough to stay busy and the other is because I'm extremely picky with work that I provide and received. Darren built me a website that was just perfect! Everything about it was exactly what I was looking for and more. I am glad it took me 6 years to get one. Any sooner and I would have missed out on his talent. Thanks again”

FAQ

HVAC owners ask about profile help.

Will you need my Google password?

No. You invite us as a manager from People and access. Never send a password.

Can you lock me out?

Not as a manager. Managers can’t add or remove users; only owners can.

Do I have to keep paying to keep the profile?

No. The profile is free from Google and stays yours if you stop our plan.

Can I keep answering reviews myself?

Yes. Owners can do everything managers can.

My listing is already claimed. Is setup still worth it?

A claimed listing can still be incomplete. The setup fee is the same for new profiles and rebuilds.

How soon can you start?

Onboarding starts the same day you buy.
